Sponsor and Partner Policy

Policy Statement

ARRO is committed to ensuring effective and appropriate recognition and support for all its sponsors and partners, without whose assistance ARRO could not achieve its objectives.

Definitions

  • Sponsor – a direct cash donor only. Partner – an organisation that may assist ARRO with either cash or in kind material support and/or for which ARRO provides some assistance in return such as education material. Event sponsor/partner – an organisation that provides ‘one off’ assistance for a particular activity or challenge, as against on going support to ARRO.

Context

ARRO relies heavily on the assistance of a range of organisations both within the rescue fraternity and separate from it. Although the work of ARRO promotes a desire for ‘good corporate citizenship’ within the business community, ARRO has a duty to all of its supporters to recognise their level of assistance at an appropriate level.

The following headings, down to and including ‘Responsibility’ set out how this ARRO policy will be implemented.

General

ARRO will establish a number of levels of support, each of which will provide for specific levels of recognition. Wherever possible, regardless of the level of support, such relationships should be established on a 3-5 year basis.

It is recognised that each potential sponsor or partner may have a variety of expectations and needs from a relationship with ARRO, however in general terms they should be offered the level of recognition appropriate to their level of support.

The ARRO Executive Committee will determine the levels of support and associated recognition offered to sponsors and partners at each of the levels of Gold, Silver and Bronze.

Liaison with sponsors and partners

The President is responsible for the overall management of sponsor and partner relationships, but may delegate a specific relationship to another member of the Executive. This will include maintaining routine contact with the sponsors and partners to the relationship is maintained between annual events.

Where a sponsor or partner attends an ARRO activity, the President will identify a member of the Executive to be the principal liaison officer with that organisation. The liaison officer is to ensure all the needs of the supporter are met, within the scope of their level of support, during the event.

Responsibility

The President is responsible for the review and amendment of this policy.

Record Keeping

The Executive Officer, on advice from the President, will be responsible for maintaining records of the nature of any agreements entered into between ARRO and any supporters. Where these agreements involve financial support, the Governance and Compliance Officer will be responsible for managing the invoicing, receipt and expenditure of that support.

Corporate Image Policy

Policy Statement

To ensure ARRO is presented in a professional and consistent manner and the protection of its reputation, this policy will prescribe the use of the ARRO logo and the wearing of corporate attire.

Context

The image of ARRO as a professional organisation is represented by the organisation’s logo, the presentation of its members in terms of dress and the way they act. The use of the first two is described in this policy. The latter is addressed in the ARRO Code of Conduct.

The following headings, down to and including ‘Responsibility’ set out how this ARRO policy will be implemented.

Logo

The ARRO logo is represented in the Schedule of Logos attached to this policy. It may appear in full colour or in black and white.

Use of the Logo

  • The use of the logo on all printed material is described in the ARRO style guide. The portrait style logo will appear on ARRO banners and flags which will be displayed at relevant events, challenges and functions. The Executive has approved the use of a stylised version of the ARRO logo on the web site. This should not be used elsewhere in this form. Where the ARRO logo appears on official ARRO corporate clothing, the graphic will generally appear in the portrait form without the text ‘Australasian Road Rescue Organisation’ incorporated within it due to embroidery limitations. In such circumstances the logo graphic may appear alone or may have the text below in a larger font. ARRO recognises that both challenge hosts and participating teams may wish to include the ARRO logo in event merchandise and uniforms. The Executive supports this concept and encourages hosts and teams to seek permission from ARRO so that the Executive can ensure the reputation of ARRO is preserved. Wherever the logo is used is must appear in the form and proportions detailed in the Schedule of Logos.

Corporate dress types

  • Number one dress: long sleeve light blue Oxford shirt with ARRO graphic only on left breast; ARRO tie; beige dress trousers; navy blue blazer or ARRO Gore Winstopper jacket with ARRO graphic only on left breast; dark footwear; socks and belt. Number two dress: short or long sleeve dark blue chambray shirt, open neck but collar lapel buttons fastened with ARRO graphic with text below on the left breast; beige dress trousers; dark footwear; socks and belt. Number three dress: short or long sleeve dark blue chambray shirt, open neck but collar lapel buttons fastened with ARRO graphic with text below on the left breast; dark coloured pants or shorts, dark footwear and belt.

The ARRO wet weather jacket (navy blue with yellow markings) with ARRO graphic with text below on the left breast and ‘ARRO’ on the back may be worn with any of dress types two through four when required.

Operational dress types

Operational dress:

(Note: This dress is only available to Challenge Management Team members of ARRO who have attained recognition at Australasian level. For more information about achieving this level refer to the Challenge Management Team Policy or contact the ARRO Technical Committee.)

  • ARRO overalls or 2-piece ensemble, sleeves rolled down and cuffs closed around the wrist, zip to be between the lower top corner of the breast pocket and the person’s embroidered name. Any clothing visible under the overalls (e.g. a T-shirt) must be the ARRO CMT t-shirt. Clean and polished black safety boots. Safety glasses. Personnel wearing this dress should also carry safety gloves and hearing protection and ensure they are used as appropriate during their activities. This dress should include an ARRO helmet appropriate to the function being performed. If ARRO helmets are not available any suitable safety helmet may be worn. This dress may include the ARRO wet weather jacket described above when required. Members of the ARRO Scenario Team may also where ARRO orange wet weather gear on loan from the ARRO equipment cache.

Dress code for various occasions and functions

Unless otherwise determined by the ARRO Executive, dress for all members of the ARRO Executive and other ARRO members having the attire is listed below. Those members without the requisite attire are to wear the next best level of dress available to them. Those ARRO members with no ARRO corporate attire may wear service uniform from their agency appropriate to the function they are attending or appropriate other clothing.

  • ARC or WRC opening and closing functions, presentations and formal meetings – number one dress ARRO or WRO AGM, other more formal working meetings with other organisations – number two dress ARC or WRC symposium, team briefings (if not part of a formal function), challenge event days or working meetings – number three dress ARRO or WRO CMT workshop – number three dress ARRO committee meetings – number three dress

Other functions and occasions at the discretion of the most senior member of ARRO present, using the above as a guide.

Responsibility

The Governance & Compliance Officer is responsible for ensuring compliance with this policy as well as its review and amendment. The Governance & Compliance Officer will also maintain a list of current makes, models and suppliers of ARRO apparel.

International Travel Policy

Policy Statement

In order to achieve its objectives, ARRO will support some members and teams to travel to other parts of the world to participate in relevant meetings, challenges and other activities.

Definitions

  • International travel – means outside Australia and New Zealand.

Context

ARRO regularly receives invitations to send teams, assessors and delegates to various functions outside ARRO’s sphere of operations. The purpose of this policy is to articulate the process for identifying who will represent ARRO, what the expectation of ARRO will be of those travelling and what level of support will be provided.

Procedures

The following headings, down to and including ‘Responsibility’ set out how this ARRO policy will be implemented.

Invitations

Only those invitations received by the Governance and Compliance Officer of ARRO will be recognised and considered. Any one else receiving an invitation to travel and wishing to seek support from ARRO should forward that invitation to the Governance and Compliance Officer.

Teams

ARRO will assist up to two teams only from the top five placed teams at an Australasian Rescue Challenge to attend the following calendar year’s World Rescue Challenge (WRC). The amount of financial assistance is detailed in the ARRO Financial Management Policy.

ARRO will not restrict any other teams wishing to attend the WRC or any other challenge outside ARRO, but may not endorse them as ARRO representatives.

Assessors

The ARRO Assessor Coordinator will manage the process of seeking nominations from suitably qualified ARRO assessors to attend challenges, including the WRC, outside ARRO. Selection will be undertaken by the Technical Committee in accordance with the Assessor Management Policy and approved by the ARRO Executive.

ARRO will only provide assistance to Assessors travelling to the WRC. The amount of financial assistance is detailed in the ARRO Financial Management Policy.

Delegates to World Rescue Organisation meetings

The ARRO Executive will determine who and how many delegates to send from year to year to the WRO Annual General Meeting. The amount of financial assistance is detailed in the ARRO Financial Management Policy.

Any other international travel

The amount and type of assistance for any other international travel will be determined by the ARRO Executive.

Exchange of gifts

  • It is recognised that as part of any delegation travelling internationally there will be an opportunity to develop good will through the mutual exchange of gifts. To this end ARRO will provide wall plaques to the most senior ARRO member of the travelling contingent to present as that person deems appropriate.
  • Any gifts received in exchange are to be returned to the ARRO Governance and Compliance Officer at the first suitable opportunity.

Reporting

All members and teams travelling internationally to represent ARRO, whether financially supported or not, will complete an ARRO travel report and forward it to the ARRO Governance and Compliance Officer within 14 days of return from the international travel.

Failure to complete the travel report may result in individuals not receiving support or endorsement for future travel.

Responsibility

The Governance and Compliance Officer and the Challenge Coordinator are responsible for ensuring compliance with this policy.
